Bulk Exporting Organizers from UltraTax

Important Settings Before Exporting

PDF files need to have the External ID AFTER the underscore in the file name. A correct file name might look like: SMITH, JOHN & JILL_2023_Organizer_JSMI1234.pdf

To make sure that your External ID is after the underscore:

1. Click Setup
2. Select Office Configuration
3. Click Print Options
4. Click PDF File Options...
5. Make your positions this order:
      Position 1: Client Name
      Position 2: Tax Year
      Position 3: Document Name
      Position 4: Client ID

If your organizer is printing with the Direct Deposit as a separate PDF follow these instructions:

From your 1040 Product Information page:

1. Click Organizer under Collation



2. Scroll and find Deposit & Electronic Funds Withdrawal
3. Ensure that Include in Electronic Org is checked
4. Ensure Action Items PDF is not checked



Note: If you have existing integrations, like GoFileRoom, that rely have the file name in a different order, do not change the settings globally. You can change a specific users settings so they can print organizers, then change it back to your regular print settings.

How to Export Organizers from UltraTax

IMPORTANT:  Ensure that your organizer version under 1040 Product Information is set to Classic and not Lite. If you upload the Lite organizer version, importing the organizer into Liscio will do nothing. We are only compatible with Classic organizers.
Also, please note that Liscio is optimized for UltraTax organizers with and without fillable boxes.



Reassigning Client Delivery

Note: You'll only need to do this one time and UltraTax will remember your delivery settings for future years.

If your clients are not already set to an Organizer Delivery Method of File (PDF) in Setup > Client Communications, you should take the following steps to change this setting for all of them en masse:

1. Select Edit > Reassign Clients.
2. Select all applicable clients to the right pane.
3. Select Organizer Delivery Method from the Category drop-down box.
4. The field below will change to be titled Organizer Delivery; select File (PDF) from the drop-down.
5. Click the Reassign button at the bottom.

Printing Organizers

1. Go to File > Print Organizers
      a. It's normal to see the Delivery Method section greyed out after using Reassign Clients, above.
      b. Note: make sure Password protect files is not selected or your import will not work.
2. Click Clients
3. Make sure your focus is set to only 1040. Select your clients to print, or hit Select All if you want every organizer printed.
4. Click Assemble
5. UltraTax will give you a message that your files have been printed successfully.  You can press Open Target Folder to see the download location, or hit OK to finish your export.
