QuickBooks Integration: Syncing Records

After you have set up your QuickBooks integration, you can begin syncing your records.

You should run a new sync any time you create a new Account or Customer and need to link those records.

Syncs can be done automatically or manually. 





Automatic Syncing 

  1. Click the ellipses (three dots) in the lower-left corner, then Admin, then Integrations

  2. Under the QuickBooks integration, click Sync Now.  

  3. This will bring your QuickBooks Customer information into Liscio. During this process, your existing Liscio Accounts will be linked to your existing QuickBooks Customers wherever the names match exactly (case insensitive). Note: Changing an Account or Customer name will not de-link records that have already been synced.

  4. When the sync is completed, the all three buttons will turn blue.

  5. If a match is found, you will be able to search for existing invoices or create new invoices in QuickBooks for any Contact in that Account. Note: If the Contact does not exist in QuickBooks, the Contact name on the invoice will be the name of the individual associated with the QuickBooks Customer.

  6. The Liscio Account and QuickBooks Customer will now be linked and the following fields will be synced: Address, phone number, website address

  7. To view matched Accounts and Customers, click View Details


Manually Syncing

If there are Accounts that did not sync automatically due to name differences, you can do so manually.

  1. Under the QuickBooks integration in Liscio, click View Details.

  2. Use the search box to find the record you would like to sync.  

  3. Hover over the record and click on the magnifying glass on the far right.  

  4. Use the search box to find an existing record. 

  5. Hover over your selection and click the link icon on the far right. 

  6. The Liscio Account and QuickBooks Customer will now be linked and the following fields will be synced: Address, phone number, website address

During the First Sync

  1. If any of the fields listed above has a value in either Liscio or QuickBooks, but not in the other, it is automatically updated wherever it has no value. 

  2. If a field has a value in Liscio and in QuickBooks, the value in Liscio will overwrite the value in QuickBooks.


During Subsequent Syncs

  1. If a field has a value in QuickBooks but not in Liscio, no change is made in QuickBooks or in Liscio.

  2. If a field has a value in Liscio but not in QuickBooks, the field is updated in QuickBooks.

  3. If a field has value both in Liscio and QuickBooks, the Liscio value overwrites the QuickBooks value. 

  4. New Accounts created in Liscio will be automatically created and linked in QuickBooks. If a linked record is updated in Liscio, the changes will be automatically updated in QuickBooks. If a linked record is updated in QuickBooks, the changes will not be reflected in Lisico. Note: Accounts with the status of Prospect will not be automatically created in QuickBooks.

  5. If a record is created in QuickBooks, you will need to run another sync in order for that record to show up on the QuickBooks integration page in Liscio. You will then need to click the create in Liscio icon in order to create the Account/Contact in Lisico.



Note: Record names are not synced.  If a Liscio and QuickBooks record are synced, their names may be different due to different capitalization, or if they have been synced manually.
